A mineral label carries a tremendous amount of value.
At its most simple, a label identifies what a specimen is and where it came from. At its best, it becomes part of a specimen’s history and identity, recording its locality, provenance, collection information and a link to a larger catalogue record.
For collectors, good labelling is also practical. As collections grow and our memories become less reliable, it's easier than you think to lose information that's not recorded.
This guide covers how to print mineral labels at home, and goes through some of the features that should be included.
All three templates are formatted for A4 printing and can be adjusted in Canva to suit your own collection. Change the wording, fonts, catalogue numbers or collection details, then print as many as you need.
Printing Mineral Labels at Home
Even when a mineral label is carefully designed, small details can make the difference. With a few simple adjustments, even labels printed at home can look remarkably professional.
Choose a heavier paper weight
We recommend using paper or card of at least 250 GSM. Heavier stock generally gives a specimen label a more substantial feel and helps it stand up to repeated handling.
There's no need to buy a particular branded product. We often use smooth pressed watercolour paper simply because it's readily available locally and gives the finished labels a beautiful weight and texture.
If you choose an art paper, look for one with a relatively smooth surface. Highly textured papers can interfere with very small lettering and fine borders, particularly on inkjet printers.
Before committing to an entire sheet, print a test run. Different printers handle heavy stock differently, and some home printers have a maximum supported paper weight.
Use the highest quality printer settings
Home printers often default to a standard or economical print setting, which is fine for ordinary documents, but less suitable for detailed specimen labels.
Before printing, open your printer settings and look for a menu labelled something like Print Quality, Media & Quality, Printer Properties or Quality. Select the highest available quality setting.
If your printer also allows you to specify the paper type, choose the setting that most closely matches the stock you're using.
This is particularly noticeable on labels containing fine borders, small catalogue numbers and detailed serif type. The difference between a default print and a high quality print can be significant.
Where possible, also print at 100% or Actual Size rather than allowing the printer to automatically scale the page to fit.
Cut labels with a blade and steel ruler
Scissors are OK, but a sharp blade will give a crisper result. If you have a guillotine, even better.
We prefer to use a scalpel or sharp utility knife with a steel ruler and cutting mat. Align the ruler carefully with the cutting guides and cut away from your hands.
Straight edges and square corners sound like insignificant details, but they make a considerable difference to the finished label. A label printed at home can look very polished when the paper, printing and cutting are maximised.
Preserving & Storing Original Labels
One of the simplest good habits a collector can develop is to never throw away a label that comes with a specimen, even if it's in poor condition or a foreign language.
New collectors in particular can be tempted to discard an older label once they've made a cleaner or more attractive one of their own, but the original could contain information that can never be recovered.
A simple way to keep physical labels organised and protected is to store them in a binder designed for baseball cards or other collectible trading cards. These binders are often inexpensive, widely available online and can sometimes be found through local newsagencies or hobby shops. The individual pockets keep labels flat and easy to reference while reducing the risk of them being lost, folded or damaged.
For particularly important specimens, photograph or scan the original labels as well and include those images in the specimen’s digital catalogue record. This gives you another record of the documentation while allowing the physical label itself to be preserved.
Creating a new label should add to a specimen’s documentation, rather than replace what came before it.
What Should Be Included on a Mineral Specimen Label?
There's no universally prescribed private collection label format, but some information is far more valuable than others.
Among experienced collectors, locality is repeatedly treated as one of the most important pieces of information to preserve.
This is because a mineral species can often be identified again, but a lost locality may be impossible to reconstruct. Mindat contributors regularly make this distinction when discussing long term collection documentation.
Mineral name
The mineral species should normally be the most immediately readable part of the label.
If it's your style and where appropriate, include a recognised variety name or important associated minerals.
For example:
Quartz var. Amethyst
or
Fluorite with Calcite
We recommend to avoid filling a small physical label with information that can easily be looked up elsewhere, such as chemical formulae or crystal systems, unless those details are genuinely useful to your particular catalogue.
Locality
Record the locality as accurately and in as much detail as the available information allows.
A detailed mineral locality can look something like:
- Mine or occurrence
- District, municipality or constituency
- Region, state or province
- Country
For example:
Brandberg Complex, Brandberg Area, Dâures Constituency, Erongo Region, Namibia
The degree of detail will vary enormously. Some specimens have an exact mine, claim or pocket recorded. Others may only have a district or regional attribution.
It is also a good idea to preserve the locality exactly as it appears on an original label, even when terminology has since changed. Mindat’s own catalogue provides separate fields for the locality recorded on the specimen label and the modern matched Mindat locality. This distinction recognises the historic label itself as part of the specimen record.
Collection name
Including the collector or collection name gives context to the label and can become increasingly useful if the specimen later changes hands.
A label that reads: 'Collection of Jane Smith' means considerably more to a future owner than an anonymous catalogue number on its own.
This is particularly relevant to older collections. Catalogue numbers frequently survive after the associated ledger, spreadsheet or database has disappeared. Collector discussions on Mindat repeatedly note that an isolated number can eventually become almost meaningless without some way of identifying the collection to which it belonged.
Catalogue number
A unique catalogue number provides a bridge between the physical specimen and its larger collection record.
There's no single numbering convention that collectors are required to follow. Sequential numbers work perfectly well, while some collectors use prefixes, locality codes, mineral classifications or existing identifiers such as Mindat minIDs.
Mindat itself allows catalogue numbers to be numeric or alphanumeric.
The most important consideration is consistency, so choose a system that you can continue using as the collection grows.
If a specimen already carries catalogue numbers from previous collections, preserve them. They form part of the provenance record rather than becoming obsolete when a new owner assigns another number. This is also common collector practice discussed on Mindat.
Provenance
Provenance can include previous collectors, mineral dealers, auction houses, institutions, field collectors and acquisition history.
For particularly important specimens, old labels should be kept with the piece even when you create a new label of your own.
Do not replace an old label merely because its typography is dated or its locality terminology is no longer current. The physical label may itself document ownership history that cannot be reconstructed later.
A specimen can accumulate multiple labels over decades or even centuries. That accumulation holds value.
Acquisition information
The date acquired, source and purchase information can be useful in the full catalogue even if they do not appear on the display label.
Mindat’s catalogue, for example, allows collectors to record acquisition date, purchase price, original label price and estimated value alongside the specimen record.
Whether the purchase price belongs on a physical label is a personal decision. Many collectors prefer to keep financial information in a private catalogue instead.
Other useful information
Depending on the specimen and the purpose of your collection, you may also want to record:
- dimensions or weight
- field collection date
- name of the field collector
- pocket or find information
- associated minerals
- unusual crystal habits
- analysis or laboratory identification
- previous catalogue numbers
- Mindat locality or specimen identifiers
The physical label doesn't need to contain everything.
Its role is often to preserve enough essential information that the specimen can still be identified and connected with its more detailed catalogue record.
Digital catalogues with physical labels
Increasingly, collectors use a short physical label alongside a much more detailed digital record.
This is particularly useful for information that would be impractical to fit on a small card: photographs, invoices, previous labels, dealer information, acquisition dates, documents, analytical results and extensive provenance notes.
A good digital system doesn't make physical labels redundant, as the two serve different purposes.
The physical label travels with the specimen and preserves its essential identity. The digital catalogue provides depth.
Preserving Original Labels and Provenance
One of the simplest good habits a collector can develop is to never throw away a label that arrived with a specimen.
Even an unattractive handwritten scrap may contain information that is no longer recorded anywhere else.
Keep dealer labels, old collection cards, auction tags and previous catalogue numbers together with the specimen.
If you believe an old locality attribution is wrong, record the corrected information separately rather than altering or discarding the original.
The same principle applies digitally. Photograph or scan old labels and include them in the specimen record where possible.
Documentation becomes particularly important as collections move between people. Research on natural history collection management has long emphasised maintaining individual specimen numbers and associated collection data so that specimens do not become detached from their histories.
Creating a Mineral Cataloguing System That Works for You
A sophisticated catalogue that's too tedious to maintain is unlikely to remain useful.
The best system is one that you can realistically update whenever a new specimen arrives.
At minimum, record:
- mineral name
- locality
- catalogue number
- source or previous owner
- acquisition date
Then add photographs, provenance, documents, dimensions, price information and notes according to the needs of your collection.

It is much easier to record these details when a specimen first arrives than to reconstruct them years later.
